What You’ll Do:
- Vendor Coordination: Serve as the main liaison for third-party vendors, ensuring clear expectations and timely deliverables
- Information Gathering: Collaborate with departments like HR, IT, Legal, and Finance to collect data and approvals in support of project timelines
- Project Tracking: Maintain trackers, dashboards, and status updates to monitor milestones, deliverables, and risk areas
- Documentation & Reporting: Maintain and organize project documentation including contracts, invoices, notes, and reports; share updates regularly
- Meeting Coordination: Schedule and facilitate cross-functional meetings, prepare agendas, record notes, and track action items
- Process Support: Help develop and maintain consistent processes for vendor engagement and invoice/reporting workflows
What We’re Looking For:
- Experience: 3–5 years in project coordination, vendor management, operations, or related areas
- Technical Skills:
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Teams)
- Exposure to Smartsheet, SharePoint, or other project tracking tools a plus
- Soft Skills:
- Excellent written and verbal communication
- High attention to detail and ability to manage multiple tasks across stakeholders
- Organized, self-driven, and solution-focused in a fast-paced environment
Preferred Background:
- Experience working with teams that require high levels of coordination and documentation
- Prior work in pharmaceutical, biotech, or similarly regulated industries
