We are hiring a Property Manager to be responsible for overseeing the strategic, financial, and operational management of assigned properties while upholding the company's core values and brand culture. This role Manages the property and provides leadership and team development. Manages third-party service providers (e.g., janitorial, parking, security, engineering) to ensure alignment with company expectations of service standards. Oversees areas including the strategic, financial, and operational management of the properties.
Key Responsibilities
Property & Customer Experience
- Deliver an outstanding customer experience that differentiates company properties from competitors.
- Promote other offerings to enhance customer engagement.
- Ensure vacant spaces are well-maintained and showcase-ready for prospective tenants.
- Oversee tenant improvements and alterations while ensuring compliance with property standards.
- Manage service providers to ensure top-quality work, contract adherence, and timely completion.
- Foster a sense of workplace community through engagement activities (B2B networking, workshops, customer appreciation events).
- Collaborate with internal departments to maintain buildings and ensure tenant satisfaction.
- Review and approve lease abstracts and deal sheets.
- Oversee and coordinate tenant move-ins and move-outs.
- Enforce lease terms, including legal proceedings as necessary.
- Address and resolve customer concerns proactively.
- Negotiate and manage contracts as required.
- Process and review sublease, assignment, storage space, and entry permit requests.
- Complete and file incident reports as needed.
- Review and approve recurring property reports.
- Work with parking service providers and third-party lease abstractors to ensure accurate lease abstraction and rent collection.
Financial Management
- Develop and manage detailed property budgets and forecasts for operating expenses and capital expenditures.
- Prepare and reconcile CAM (Common Area Maintenance) estimates.
- Oversee the year-end accounting process and financial reporting.
- Ensure financial goals, including revenue targets, are met, providing monthly variance analyses.
- Manage accounts receivable to ensure timely rent collection and resolve non-payment issues per company policy.
- Work closely with legal and accounting teams to ensure all necessary paperwork and legal actions are completed.
- Review and approve invoices while ensuring proper authorization within team thresholds.
- Prepare and present business plan results to senior leadership.
- Manage and review Letters of Credit on file.
Leadership & Team Development
- Lead, train, and mentor the property management team, fostering professional development and performance growth.
- Provide regular coaching, recognition, and performance evaluations, including annual appraisals and career development plans.
- Oversee third-party service providers and engineering teams to maintain high operational and customer service standards.
- Implement and manage portfolio-wide special initiatives and projects, including committee-led initiatives or contract management.
- Stay informed on the local market, competitive properties, and business conditions that may impact property operations.
- Lead by example, fostering a positive team environment that aligns with the company's brand values and initiatives.
Qualifications & Requirements
- Bachelor’s degree or 5–7 years of directly related experience.
- Minimum 5 years of experience in property/facilities management or a related business management role.
- Prior supervisory experience required.
- Strong computer, communication, organizational, and customer service skills.
- In-depth knowledge of property management processes and terminology.
- Experience in a professional office setting, preferably in real estate or property management.
- Ability to inspect vendor work, verify contract compliance, and handle after-hours emergencies as needed.
- Real Estate License required.
